About EIN

EIN is a small not for profit subscription based membership organisation providing specialist legal information via the internet on immigration and asylum law to practitioners, the judiciary and academics.

The organisation requires a part time Office Assistant to work in its central Manchester office.  

The post-holder will liaise with members of EIN and others working on the website who are home-based or working from different parts of the country.

Job Description

Job title:                    Office Assistant

Responsible to:       CEO

Hours:                       17.5 per week

Starting Salary:        £9,000 for 17.5 hours (Monday – Friday 12.00-3.30 pm)

Salary Scale              £9,000-11,500

Holiday:                     25 days per year plus 3 days between Xmas/New Year

Pension:                    6% of gross salary

Office Assistant

The main purpose of this role is to provide a service to EIN’s existing and new members.  Communication is generally by email with a few enquiries by telephone. The office is open 9.30 am to 3.30 pm Monday to Friday.

Main Tasks

  1. Manage the office on a day to day basis dealing with telephone, post, emails and creating invoices.
  2. Banking cheques received and keeping records of the same
  3. Updating members records and issuing new and replacement passwords
  4. Forwarding financial and membership information to the Community Accountancy Service
  5. Chasing unpaid invoices
  6. Posting job adverts on the EIN website and any other basic editing of members details
  7. Compiling and updating spreadsheets
  8. Preparing regular reports on changes in membership, trends or common problems faced by members

Other duties:

  1. Manage own workload effectively under minimal supervision
  2. Work flexibly as part of a small team
  3. Undertake any other duties which may reasonably be required from time to time
  4. Undertake further training if required

PERSON SPECIFICATION

Office Assistant:

This role requires an organised and self-motivated individual with excellent written and oral communication skills to provide a professional and efficient service to the CEO and EIN members.

Essential Criteria:

Computer literate

Knowledge of MS Office, Excel spreadsheets and Word

Excellent written and oral communication skills

Excellent numeracy skills

Excellent interpersonal and customer service skills

Excellent attention to detail

Ability to work to deadlines

Ability to learn invoicing and reports on QuickBooks

Must be able to work with minimal supervision

Desirable Criteria:

Ability to write short monthly or quarterly reports

Be willing to undertake further training if required to do so

Knowledge of QuickBooks
