How to incoporate separate, printed documents in a bundle

'Insert Printed Document Header' is a function to enable the inclusion of printed documents within a bundle. The Bundle-Maker will insert a gap of the relevant number of pages within your bundle, allowing you to incorporate your own printed documents.

You can, for example, use this for adding pdf format UNHCR documents from the database on the EIN [see http://www.ein.org.uk/members/UNHCR.shtml]. You may also find it useful for other documents that you are unable to import into Microsoft Word - pdf documents, maps etc.

For example, the graphic below shows how a 2 page print-out of a BBC News article has been incorporated into a bundle.

You will, of course, have to manually paginate any printed documents!

How to use

Ensure that your cursor is on a new, blank line before using the 'Insert Printed Document Header' function to insert a header. Obviously, make sure the insertion point comes at the end of the previous report or at the start of your document.

Click 'Bundle-Maker' on the Word menu bar and from the 'Bundle-Maker' submenu, click 'Insert Printed Document Header'. The 'Insert Printed Document Header' box appears.

Type the full header of the document as you wish it to appear in the table of contents. Next, enter the number of pages of the printed document. If you wish to leave the page created by the 'Insert Printed Document Header' function in your bundle, make sure that the 'Add extra page for header/title sheet' box is ticked. Untick this if you do not intend to leave this page in your printed bundle.

The header will be inserted into the Word document as follows (including a note stating that the document follows on the next page).

At the end of the header is the text that tells the Bundle-Maker how many pages to skip whilst numbering the bundle. The text is formatted as follows: #bundle=x# (where x is the number of pages to skip). Do not delete or change this text. Always remember that an extra page is inserted when the 'Add extra page for header/title sheet' is ticked!

NOTE: WHEN THE BUNDLE IS CREATED, THE #bundle=x# TEXT WILL BE HIDDEN AND WILL NOT, FOR EXAMPLE, APPEAR WHEN THE BUNDLE IS PRINTED OUT. SHOULD YOU 'UNDO' THE BUNDLE, THE TEXT WILL BE UNHIDDEN.

You can use the Word 'Show/Hide' function to show or hide hidden text and characters (toggle the 'Show/Hide' button on the Word 'standard' toolbar).

You may find that Word has been set to display hidden text even though the 'Show/Hide' button is set to hide. The hidden text will be underlined with a dotted line. Whilst the hidden text will display on screen, it will not be printed out. If you do find that Word has been set to print out hidden text, this can be corrected by going to the Microsoft Word 'Tools' menu and selecting 'Options...'. From 'Options' select the 'Print' tab and make sure that 'Hidden Text' is unticked (found under 'Include with document').

As you can see in the finished bundle below, the #bundle=x# text is hidden and does not appear on screen. A gap of three pages has been inserted by the Bundle-Maker to allow inclusion of the printed out report (note: as the 'Add extra page for header/title sheet' box was ticked, the gap is three pages rather than just two. If the box had been unticked, a gap of only two pages would have been inserted)

When creating a bundle which contains printed document headers, please note that the contents page(s) of the bundle will be numbered i, ii, iii etc. The bundle itself will begin at page 1.

Multiple printed document headers can be inserted into a single bundle. There should be no practical limit on the amount of printed documents that can be incorporated into a single bundle using this feature.

Please note: This function uses section breaks and 'hard codes' the page numbers. This means that if you make changes to the bundle that affect the pagination of the bundle and try to update the table of contents or page numbers, the bundle will not be updated correctly. Instead, use the 'Undo' bundle function, make any changes, then recreate the bundle.
